AI Lead Qualification for Inbound and Outbound Leads

Qualification is the work nobody wants and everybody skips: calling every new lead quickly, asking the same discovery questions, writing down the answers, and being honest about which ones are not a fit. Zemora agents do that over phone and text, update the CRM with the reasoning, and hand your team the conversations worth having.

The problem

Qualification degrades quietly

Nobody decides to stop qualifying leads. It erodes. Speed-to-lead slips from minutes to hours because the rep was on another call. The fourth discovery question gets skipped because the conversation was going well. The reason a lead was dropped never makes it into the CRM, so the same list gets rebought and reworked six months later.

None of that is a discipline problem. It is what happens when a repetitive, high-volume task competes with closing for the same person’s attention. Qualification is the first thing to lose that competition and the last thing anyone notices has gone.

The workflow

What happens between a new lead and a booked meeting

Lead in, conversation, discovery, qualification, outcome, CRM, booking or handoff.

1. Lead arrives

A web form, a phone call, an SMS reply, a chat conversation or a row on an outbound list. The agent picks it up immediately rather than waiting for a rep to be free.

2. The conversation

The agent calls or texts, opens with your framing, and holds a natural conversation. It handles interruptions and objections rather than reading a fixed sequence.

3. Discovery

Your discovery questions get asked – budget, timeline, authority, current provider, whatever your criteria actually are. Answers are captured against the contact as structured fields.

4. Qualification

Answers are checked against your criteria during the conversation. The agent knows whether this is a fit before it ends the call, not after a review meeting.

5. Outcome and CRM

Qualified, not qualified, callback or do not contact – written back to the CRM with the reason and the transcript attached.

6. Booking or handoff

Qualified leads are booked into the calendar during the conversation, or transferred live to a rep. Everything else closes cleanly with a reason.

Discovery

Your questions, asked the same way every time

The agent does not use a generic qualification template. During pilot design we take the questions your team already asks and the criteria you already use, and encode those. If your qualifying bar is a specific practice size, a renewal window, or a particular software stack, that is the bar the agent applies.

Because it is the same agent on every lead, the answers are comparable. Ten reps produce ten interpretations of “budget confirmed”. One agent produces one, which is what makes the data usable afterwards.

Channels

Qualifying by phone and by text

Some leads answer the phone; most B2B leads answer a text. Qualification runs across both, on one contact record, so a lead that ignores a call and replies to an SMS two hours later is the same conversation rather than two dead ends.

Phone qualification

Best for inbound leads and any list where a live conversation moves things fastest. Discovery, qualification and booking happen inside a single call. Covered on the AI voice agents page.

SMS qualification

Best for follow-up, reactivation and leads who will not pick up. The agent reads replies, adapts tone, and escalates when it matters. Covered on the AI SMS page.

Lead scoring

Scoring and prioritisation

Qualification tells you whether a lead is a fit. Scoring tells you which fit to call first. Zemora AI Leads is the lead intelligence product that ranks contacts by likelihood to close using signals from your CRM, your past wins and conversation history across voice, SMS, email and chat.

To be straightforward about status: AI Leads is in design, not in beta. It is not something you can run today. Qualification through voice and SMS is available to design partners now; scoring follows. When it ships, the scoring model trains on your historical closes rather than a generic template, and plays back the reasoning behind every score.

Handoff

What your team receives

A rep picking up a qualified lead gets the transcript, the structured answers to every discovery question, the qualification decision and the reason behind it. Not a notification saying a lead is warm – the actual conversation.

Handoff happens two ways. Live transfer moves an in-progress call to an available rep while the lead is still on the line. Scheduled handoff books the meeting and puts it in the calendar with the context attached. Which one fits depends on your team size and coverage; that gets decided during pilot design.

In practice

Where qualification pays for itself first

Qualification earns its keep fastest where lead volume is high and fit varies. Medical billing companies qualify practices on specialty, claim volume and current provider. Home services businesses qualify on job type, location and urgency before dispatching anyone. Agencies qualify their clients’ inbound so retainers are not consumed by manual follow-up.

Common questions

Lead qualification questions

Who decides what counts as qualified?

You do. During pilot design we take the discovery questions your team already asks and the criteria you already apply, and encode those on the campaign. There is no generic qualification template.

How fast does a new lead get contacted?

Inbound leads are picked up as they arrive rather than waiting for a rep to be free. On most inbound sources that difference is the whole conversion gap.

Does it qualify over the phone, or by text?

Both, on one contact record. Phone suits inbound and anything where a live conversation moves fastest; SMS reaches people who will not pick up. A lead half-qualified on a call can be finished over text without repeating questions.

What does my rep actually receive?

The transcript, the structured answers to each discovery question, the qualification decision and the reason for it - either as a live warm transfer or a booked meeting with the context attached.

Does it score or rank leads?

Qualification and scoring are different things. Qualification against your criteria runs today. Lead scoring is Zemora AI Leads, which is in design, not in beta - so no, not yet.

What happens to leads that do not qualify?

They are closed out with a structured outcome and a reason rather than left ambiguous, so the next pass over the list is better informed instead of starting from zero.

Can we run different criteria for different sources?

Yes. Criteria live on the campaign, so inbound demo requests and a cold outbound list can be qualified to different standards at the same time.

Qualify every lead the same way

Bring the discovery questions your team asks today. We will map them onto an agent and show you what qualification looks like when nobody is too busy to do it.
